About you:

The executive team at Canada Startup Company is looking for Executive Assistants to help us manage our schedules, calendars, WhatsApp, email, make travel arrangements and prepare expense reports. To be successful in this role, you should be very well-organized, but very well adaptable to chaos. You will have great time management skills and be able to act without guidance. Our goal is to bring someone on to our team who will adapt to a new, niche industry and enjoy working with a passionate team.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Responsibilities:
• Act as the point of contact among executives, employees, clients and other external partners
• Manage information flow in a timely and accurate manner
• Manage calendars and set up meetings
• Make travel and accommodation arrangements
• Rack daily expenses and prepare weekly, monthly or quarterly reports
• Oversee the performance of other clerical staff
• Act as an office manager by keeping up with office supply inventory
• Format information for internal and external communication – memos, emails, presentations, reports
• Take minutes during meetings
• Screen and direct phone calls and distribute correspondence
• Organize and maintain the office filing system
• Exceptional attention to detail
• Always, always be one step ahead of curve (can manage yourself, your time and your schedule)
• Excellent and efficient communication skills
• Can learn very quickly
• Ability to handle sensitive information with discretion
• Excellent with Mac operating systems and G-Suite
• Knowledge of the Officio software, or software development skills is considered an asset

Qualifications:
• 2-3 years of work experience as an Executive Assistant, Personal Assistant or similar role
• Excellent knowledge and navigation of G-Suite, Microsoft Suite
• Outstanding organizational and time management skills
• Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
• Excellent verbal and written communications skills
• Discretion and confidentiality
• Has a big heart and doesn’t take themselves too seriously
• Must have a driver's license and be able to commute to the office located in Etobicoke, ON
• Must be able to work in the office, this is not a remote position
